Policy Agreement

Scheduling, Visit Times, & Weekends

To request to schedule pet care service, the Client can do one of the following:

• Preferred method: Request through the Dog Gone Walking & Pet Care (DGW) website client portal (www.dog-gone-walking-pets.com)
• Email DogGoneWalkingPets@gmail.com
• Call the DGW office at 540-295-6999 (only as a last resort)

Scheduling is on a first come first service basis and DGW will do its best to accommodate the Client's needs. For all non-holiday service requests, DGW requires the Client request service a minimum of 12 hours prior to the pet care, or an additional fee will be charged.

DGW's regular working hours for daily pet care begins at 10am and ends at 5pm. DGW will work with the Client to set up a 3-hour window the daily pet care visit will be provided in. DGW will visit within this 3-hour window, but if an unforeseen situation arises, the time may be adjusted.

For any pet care scheduled prior to 10am or after 5pm, excluding overnight vacation care, an additional fee will be added to the regular payment amount for the scheduled service.

For any service performed by DGW on the weekend, excluding overnight vacation care, an additional fee will be added to the regular payment amount for the scheduled service.

Cancellations

For mid-day walking or visit service, DGW requires a 12 hour notice if the Client wishes to cancel a service. Otherwise, total payment is due for the service and time originally agreed upon.

For overnight service, DGW requires a 3 day notice if overnight service is not needed. If a notice of cancellation of overnight service is provided by the Client, but is less than 3 days from the start date of the service, the Client will be required to pay for the first night of the scheduled pet care. This is to compensate the sitter as we will not be able to fill that time slot.

Please note that any cancellation request must be directly acknowledged by DGW to ensure no such request was lost by technical problems, missed phone calls, etc.

Service Prices, Additional Fees, & Associated Payment Rules

DGW posts the prices and any additional fees or associated payment rules for the pet care services it provides on the DGW website (www.dog-gone-walking-pets.com). The Client agrees to all the prices, fees, and payment rules posted on the most current version of the price list on the DGW website at the time of service. DGW reserves the right to modify the prices, fees, and payment rules at any time, with or without the Client's consent.

Payment Options

The following methods of payment are acceptable:

• Preferred method: Check made payable to “Dog Gone Walking & Pet Care”
• Credit card payment made through the DGW website client portal (Note: there is a credit card processing fee per transaction)
• Cash

The Client may leave any check or cash payment for the walker/sitter to pick up or the Client can mail it to:

Payment Due Dates & Late Payment Fee

There is a fee for all late invoice payments that are at least 10 days past due. This late payment fee is 10% of the total invoice amount.
The Client will receive an email/phone call on the 7th day past due as a reminder.
*ON THE 14TH DAY PAST DUE SERVICES WILL DISCONTINUE UNTIL PAYMENT IS RECEIVED*

Payment is due at the following times for following types of service:

• Daily walks(non-Monthly Flat Rate): Payment is due on the first day of each month of services for the first 3 months. After the initial 3 months payment will be due the last working day of each month. (credits will carry over for pre-paid canceled walks)

• Monthly Flat Rate (MFR) and Puppy Package: The client is required to pay on or before the first day of service for that month. ( no credit are issued for cancelled MFR walks)

• Overnight Care and Pet Sitting: Full payment is due on or before to the first day of service.

Refunds and Credits

The Client agrees that all payments made to DGW are final. The only exception where refunds are issued by DGW are during the following circumstances: 1) the Client's pet passes away and pet care service is no longer needed; 2) for non-Monthly Flat Rate paying customers, when Federal Offices are Closed for the day due too inclement Weather.I

Credits will be issued on a Case by Case basis and will be stored on your Account and applied to the next scheduled service.

DGW is unable to reverse charges for credit cards. DGW is able to write a refund check.

Returned Check Charge

There is a $35 fee for each occurrence of a returned check, regardless of the reason.

Fee Waiver

DGW reserves the right to waive or reduce any payment or fee, or extend payment due dates, within this agreement.

Keys

DGW will obtain two house keys during the initial key exchange, both of which will be given a unique ID number as to not identify the Client and its pet's personal identifiers. One key will be kept in the primary walker/sitter's possession, and the second key will be retained in the DGW office for emergency use only.

For infrequent customers, DGW still recommends the Client's keys to be retained in DGW's possession within the DGW office for convenience in future use of DGW services by the Client. Further, this practice will allow the Client to avoid additional key exchange charges.

Upon the termination of service, DGW will make every effort to return the Client's keys as soon as possible.

Inclement Weather

In instances when the United States Office of Personnel Management (OPM) declares an Operating Status of “Federal Offices are Closed” for the Washington, DC area, DGW will not perform services on that day to ensure the safety of DGW employees. DGW will reimburse/credit any money to non-Monthly Flat Rate customers that already paid for a previously scheduled service that was not performed due to Federal Offices being Closed.

In instances when OPM does not declare Federal Offices Closed but inclement weather (e.g. severe storms, snow/ice conditions, excessive heat, etc.) is present, the Client will entrust DGW to use best judgment in caring for the Client's pet and home if DGW is servicing the Client at the time of inclement weather.

In instances when service is scheduled but not yet performed and inclement weather is present, the inclement weather plan will be as follows: 1) Every effort will be made to drive to Client's home; 2) The service schedule may be changed, interrupted, or altered due to circumstances; 3) If it is not possible to drive safely to Client's home, the Client or its emergency contact will be notified; 4) Client will be notified that the above-mentioned contingency plan has been activated.

Holiday Service, Fee, & Holiday Cancellations

Due to holidays being peak service times for pet care providers, DGW requests that the Client provides at least 3 days' notice if holiday service is needed, and is offered in A first come first serve basis. A $25 holiday fee will be charged, in addition to the regularly scheduled payment, for any service performed by DGW on a holiday. The following are considered holidays:

• New Year's Day*
• Presidents' Day
• Easter
• Memorial Day
• July 4th
* Labor Day
* Veteran's Day
• Thanksgiving
• Christmas*

Please note that for New Year's Day, Thanksgiving, and Christmas, the $25 fee applies to all services scheduled from 2pm on the eve of the holiday, through the actual holiday.

Early Returns

For overnight and pet sitting services, due to careful planning and scheduling to service not only the Client, but other customers, DGW does not issue refunds or credits in instances when the Client returns home early from the scheduled end date of the service being provided. Once overnight or pet sitting service begins, the total payment is due for the original dates scheduled.

Extended Absence

If you will be out of your home for more then 2 consecutive days DGW will require 1 of the 2 following options In terms of dog care. Please specify which you would like at the time of schedule request.

1) Un-crated dogs will require a minimum of 3, 30 minute dog walks per day.
Example of times: 8-9am 1-3pm, 8-10pm
Crated dogs will Require a minimum of 4, 30 minute dog walks per day
Example of times: 8-9am 12-1pm, 4-5pm, 9-10pm

2) Overnight stay In your home. This is when the sitter will stay in your home with the pet. This includes feedings and the comfort of knowing your pet is not alone (recommended to crated dogs)

DGW reserves the right to add walks/visits while the owner is away if we feel it is in the best interest of the pet. We will notify the client if this is necessary. The client will be responsible for the additional fees upon their return.

In the event the Client has to be away longer than planned it is mandatory that DGW hear from the Client directly, thus ensuring any alternative arrangement that may need to be made can be.

Animal Behavior

Animal behavior can be unpredictable. DGW does not accept responsibility or liability for animal behavior, normal or otherwise, which results in injury to the Client's pet when they are not in our physical care.

Pet & House Clean-up

DGW will properly dispose of pet waste and do its best to clean up any accidents the Client's pet may have. DGW is not responsible for carpet, flooring, and/or furniture stains created by the Client's pet within the Client's home.

Medications & Vaccinations

DGW will attempt to administer medications, if necessary, as directed but cannot be held responsible for complications that arise as a result. Excessively shy cats with medical problems can be a serious risk. If the Client has such an animal, please thoroughly discuss this issue with DGW.

Contagious Illness

Under no circumstance will DGW service any pet that has any form of contagious illness. This is for the safety of DGW's other customers. DGW requires that all pets have the necessary vaccinations and immunizations before service begins and are kept up to date, in addition to the Client not requesting services at any time when its pet has a contagious illness. If a DGW pet sitter, other persons, or third party pets are bitten or exposed to any disease, illness, or ailment received from the Client's pet which has not been properly or currently vaccinated or rid of a contagious illness, the Client will be responsible for all costs and damages that may incur.

Unforseen Purchases

The Client agrees to reimburse DGW for any unforeseen purchases incurred that are necessary in contributing to the well-being of the Client's pet while the Client is absent. Such items include, but not limited to, pet food, litter, cleaning supplies, leashes, collars, medicine, etc. In addition, the Client understands an additional trip fee will also be charged to the Client for each instance unforeseen purchases must be bought by DGW.

Fences

DGW does not accept responsibility or liability for any Client's pets that escape, are injured, or become lost, fatal, or otherwise, when pets are left out or given access to a fenced in area, or if the Client instructs DGW to leave the pet in a fenced in area. This includes electronic, wood, metal or any other fence types.

Care for Other Pets

DGW reserves the right to care for other pets at the same time DGW is caring for the Client's pet.

Third Party Pet Care Providers

DGW, at its discretion, reserves the right to terminate pet care services with the Client if the Client has a third party pet care service provider.

Stray Animals

DGW will not permit the Client's pets to interact with stray animals. If stray animals approach, DGW will do its best to keep interaction at a minimum and move away from them.

Household Emergencies

Client will provide the name and number of a trusted emergency maintenance provider, person, or landlord that can be relied upon to attend to any household emergencies that may arise during the Client's absence. This includes, but not limited to, leaking pipes, malfunctioning water heaters, heating and air units, gas leaks, etc.

Updates

The Client agrees to provide DGW with any changes regarding the Client's pet's care and well being, as well as the Client's pertinent information, so DGW may continue to provide the proper care for the Client's pet.

Privacy

All of the Client's information will be kept private and confidential. We do recommend that the Client inform a trusted neighbor that DGW will be caring for the Client's pets in the Client's absence.

Parking and towing zones

If you live in a area that requires a parking pass you can choose 1 of 2 options
1) You may provide the required pass for DGW to use on a daily basis.
Or
2) If the walker is required to get one at every walk you may be required to go up to the next allotted walk time to ensure enough time to have the dog walked.
EXAMPLE: 10min walk will go to 20Min, 20min will go to 30min, 30min will go to 45 min.

If you fail to provide the proper parking requirements and the walkers car is towed from your residence you will be required to reimburse the walker for the towing fee. After 3 towing instances DGW reserves the right to terminate services.

Apartment building entry

If the client is unable to provide the walker With a FOB to entry the building and they will be required to call to be let in, this time will be included in your walk time. If DGW feels there is not an adequate amount of time to walk the dog you may be required to go to the next allotted walk time.
EXAMPLE: 10min will go to 20min, 20min will go to 30min. 30min will go to 45 min.

Extreme temperatures

For the safety of all involved we will only take dogs out long enough to do their business on days when their is an advisory for extreme heat or extreme cold. The walker will stay the entire time with them inside.
